Access Control vs. a Box of Keys

A metal key answers one question: does the person holding it have the right shape of metal. It doesn't know who they are, when they showed up, or whether they should still have that key at all. For a lot of small buildings, that's fine. For a business with staff turnover, multiple entrances, or after-hours access, it becomes a real liability, and most owners only notice the gap after someone who left on bad terms still has a working key.

The moment keys actually fail you

The failure mode isn't dramatic. It's an employee who left eight months ago and was never asked for their key back. It's a contractor who was given a spare for a two-week job in March. It's the fact that if any one of those keys gets lost or copied, the only real fix is rekeying every lock that key opens, and figuring out which locks that actually is.

Access control removes that problem at the root. Instead of a physical object that works forever until you physically change the lock, each person gets a credential, a fob, a PIN, or a code in an app, that's tied to their identity in a system you control. When someone leaves, you revoke their credential. It stops working immediately, on every door it used to open, without anyone touching a lock.

What a modern system actually offers

  • Individual credentials per person, not one key that works for everyone
  • Time-based access: a cleaning crew that can only get in between 6 and 8am, for example
  • Instant revocation when someone leaves, with no rekeying
  • A log of who entered, and when, at every door on the system
  • Different credential types: key fobs, PIN codes, or a phone-based mobile credential, often usable together

That last point, an access log, is worth sitting with. A key can't tell you that the back door was opened at 2am on a Sunday. A door on an access control system can, and it can tell you exactly whose credential did it. That's not about distrust of your staff. It's about having an answer the one time you actually need one, instead of a shrug.

What to think through before you install one

Not every door needs the same treatment. A front entrance that customers use during business hours might just need a standard lock and a doorbell camera. A server closet, a stockroom, or a back entrance used after hours is where access control earns its cost. Map your building by risk, not by habit: which doors, if opened by the wrong person at the wrong time, would actually be a problem?

It's also worth thinking about how credentials get issued and revoked in practice. A system that requires a technician visit every time someone joins or leaves the company isn't going to keep up with real staffing changes. A system your office manager can update from a phone or a browser will actually get used the way it's meant to.

Mobile credentials: a phone instead of a fob

A growing number of access control systems support mobile credentials, meaning an employee's phone becomes their key through an app, rather than a physical fob they can lose or leave at home. The advantage isn't just convenience. Most people notice within minutes if their phone is missing and can report it immediately; a lost fob can sit forgotten in a jacket pocket for weeks. Credentials can also be issued and revoked remotely without anyone having to physically hand over or collect a piece of hardware, which matters for a business with staff spread across more than one site or shift.

That said, not every building needs to go all-in on mobile credentials right away. Fobs and PIN codes are still a reliable, well-understood option, and a lot of buildings run a mix: fobs for daily staff, temporary PIN codes for contractors or short-term access, mobile credentials for managers who move between locations. The right mix depends on how your building is actually used, not on picking the newest option by default.

Where this connects to everything else

Access control doesn't live in isolation. The readers and controllers typically run on the same network and often the same cabling as your cameras and your office network, which is exactly why it tends to work better when it's designed alongside those systems rather than bolted onto them separately. A door reader that can trigger a camera to start recording when it's used, or that logs into the same system you check your cameras from, is a much more useful tool than three separate apps that don't talk to each other.

The box of keys isn't wrong for every building. But if you've ever had to ask yourself "wait, who still has a key to this place," that question is the whole argument for switching.
